Effective from 9 October 2026
1. Who processes your data
The data controller is VV Real Estate s.r.o., company ID (IČO) 23762802, registered office Petrská 1166/33, Nové Město, 110 00 Prague 1, Czech Republic, registered in the Commercial Register kept by the Municipal Court in Prague, section C, file 432533. It runs vanekrealestate.cz under the Vanek Real Estate brand.
For any privacy question, contact us at info@vanekrealestate.cz or +420 606 655 535.
2. What data we process and why
Contact and enquiry forms (contact form, property or viewing enquiry, buyer's agent request, property valuation). We process your name, email, phone number, your message and any details about the request or property you provide, plus the page you sent the form from and the site language. We use this to reply and prepare an offer. The legal basis is taking steps at your request before entering into a contract (Art. 6(1)(b) GDPR) or, for general questions, our legitimate interest in answering you (Art. 6(1)(f) GDPR). We email you a copy of what you sent.
When you type an address into the valuation form, our server passes the partial address to the Mapy.cz service (Seznam.cz, a.s.) so it can suggest matching addresses.
Tenant questionnaire. We send a questionnaire link to people applying to rent a flat we offer. It collects details about you and anyone moving in with you (name, contact details, citizenship and residence permit, profession and income, move-in date, pets, smoking, any enforcement or insolvency proceedings, and your notes). We use it to assess your application and share it with the owner of the flat, who decides on the tenancy. The legal basis is taking steps at your request before entering into a lease (Art. 6(1)(b) GDPR). If you provide details about other people, please let them know.
Clients. If you sign a contract with us, we process the data needed to perform it (Art. 6(1)(b) GDPR) and to meet legal obligations such as accounting, tax and anti-money-laundering rules (Art. 6(1)(c) GDPR).
Website analytics. Google Analytics 4 loads only if you accept it in the cookie bar (Art. 6(1)(a) GDPR). It sets the cookies _ga and _ga_FB9JT0RX2Z and measures how you use the site (pages visited, device, approximate location, form submissions). Google's advertising features are switched off. Without consent, analytics does not load at all. We remember your choice (accept or decline) in your browser's storage. You can withdraw consent at any time with the button below.
Running the website. On every visit our hosting providers process technical data such as your IP address and browser type to deliver the site and protect it from abuse (legitimate interest, Art. 6(1)(f) GDPR). The site also loads fonts from Google Fonts, images from Cloudinary and Sanity and, on property pages, map tiles from OpenStreetMap. These services see your IP address when they do.
Social media. We have pages and accounts on Facebook, Instagram and YouTube. If you interact with them, Meta and Google also process your data under their own policies. We are joint controllers with Meta for the visitor statistics of our Facebook and Instagram pages. We publish our own content to these networks through their programming interfaces, but we do not use them to collect data about visitors or other users.
We do not make automated decisions about you or use your data for profiling.
3. How long we keep data
- form enquiries that do not lead to a contract: up to 3 years from our last contact,
- tenant questionnaires: until the tenancy decision; up to 6 months if you do not become the tenant, or for the length of the lease if you do,
- client data and contract documents: for the length of the contract and then as long as the law requires (for example 10 years for accounting and tax records),
- analytics data: up to 14 months.
4. Who we share data with
We never sell your data. We share it only where needed for the purposes above, with these processors and recipients:
- Vercel Inc. (website hosting) and Render Services, Inc. (server hosting),
- MongoDB, Inc. – MongoDB Atlas (database),
- Sendinblue SAS – Brevo (sending emails and text messages),
- Google Ireland Ltd. / Google LLC (Google Analytics, Google Calendar for scheduling viewings, Google Fonts, YouTube),
- Cloudinary Ltd. and Sanity AS (website images and content),
- Seznam.cz, a.s. (Mapy.cz address suggestions),
- the owner of the flat being rented or sold where needed to handle your request, and our accountants, tax and legal advisers and public authorities where the law requires it.
Some providers are based in the United States. We transfer data to them under the European Commission's adequacy decision (EU-U.S. Data Privacy Framework) or standard contractual clauses.
5. Your rights
You have the right to access your data, have it corrected or erased, restrict its processing and receive it in a portable format. You can object to processing based on legitimate interest. You can withdraw your analytics consent at any time; this does not affect processing that took place before.
To exercise your rights, email info@vanekrealestate.cz. We reply within one month at the latest.
If you believe we handle your data unlawfully, you can complain to the Czech Office for Personal Data Protection (Úřad pro ochranu osobních údajů), Pplk. Sochora 27, 170 00 Prague 7, uoou.gov.cz.
6. YouTube API Services
Our application "Vanek Real Estate Publisher" uses YouTube API Services solely to upload our own videos to our own YouTube channels. It does not access, store or share data of website visitors or other YouTube users. The access token for our channels is stored only on our server.
By using YouTube content you agree to the YouTube Terms of Service. How Google handles data is described in the Google Privacy Policy. You can revoke an application's access to a Google account at any time on the Google Account permissions page.
Our use and transfer of information received from Google APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements.
7. Changes to this policy
We may update this policy, for example when we start using a new service. The current version is always on this page.
